This policy tells you what to expect when Source Telecom collects personal information online, face-to-face, over the phone, and in writing. It applies to information we collect about:

What type of information is collected from you?

If you contact us – whether by telephone, email, via the forms on our website or through Live Chat – or purchase a telecommunications solution from us, we will routinely collect certain personal information such as your name, email address, IP address, contact number, information regarding what pages of our website you accessed and when, as well as information relating to your business or place of work.

If you purchase a telecommunications solution from us, your payment information is not held by us; it is collected by our network and technology partners directly. You can find out more about them on their respective websites: O2, Vodafone, EE, HighNet, Gamma, Daisy, Crystal Ball, and Chess.

People who call our office

When you call Source Telecom we collect Calling Line Identification (CLI) information. We use this information to help improve efficiency and effectiveness.

People who email us

Any email sent to us, including any attachments, may be monitored and used by us for reasons of security and for monitoring compliance with office policy. Email monitoring or blocking software may also be used. Please be aware that you have a responsibility to ensure that any email you send to us is within the bounds of the law.

How is your information used by us?

Source Telecom may use your personal information as is reasonably necessary, and in accordance with your instructions, to provide, maintain, and improve our services to you. This specifically includes:

  • notifying you of changes to our services and products/solutions;
  • preventing or addressing service/security/technical issues that you may experience;
  • carrying out our obligations arising from any contracts entered into by you and us, and you and our third-party suppliers.

We also use your information to:

  • respond to your requests

    if you contact us, we will use your information to respond

  • seek your views or comments on the services we provide

    from time to time we may carry out research to understand how we may improve our service to you and the solutions we provide

  • send you communications which you have requested and that may be of interest

    to you from time to time we may send you service and administrative emails and messages, or to contact you about changes to our trusted partners/third-party suppliers, and other service-related notices

  • communicate with you and for marketing purposes

    for example, our e-newsletter with information on industry news, latest products/services, promotions, associated goods and services. You can opt out of these at any time

  • billing and account management

    we use account data to administer accounts and keep track of billing and payments

How long will we keep your information for?

We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us, and then it will be archived.

We are legally required under UK tax law to hold basic personal data (name, address, contact details) for a minimum of six years; even if you are no longer a Source Telecom customer. In these circumstances, your data will be stored, archived, and then destroyed within this six-year window.

Your information that we use for marketing purposes (first name, email address, company name) will be held until you notify us that you no longer wish to receive this type of information. You can unsubscribe from our marketing emails at any time using the ‘unsubscribe’ option within the email, or by emailing susana@sourcetelecom.co.uk directly to advise us of your preferences.

Visitors to our website

Like most websites, when someone visits www.sourcetelecom.co.uk we use third-party services - such as Facebook Pixel and Google Analytics - to track user interaction. We use this data to determine visitor behaviour patterns, and to gain a better understanding of how visitors find and use our web pages as well the number of visitors to the various parts of the site. Although these third-party services records data such as your geographical location, device, internet browser and operation system, none of this information personally identifies you to us. We do not make, and do not allow these third-party services to make, any attempt to find out the identities of those visiting our website.

People who use our LiveChat service

We use a third-party provider, Tawk.to, to supply and support our LiveChat service, which we use to handle customer enquiries in real time.

If you use the LiveChat service we will collect your name, email address (optional) and the contents of your LiveChat session. This information will be retained for two years and will not be shared with any other organisations.

You can request a transcript of your LiveChat session if you provide your email address at the start of your session or when prompted at the end.

We use third-party providers - MS Dynamics and Click Dimensions - to deliver our e-newsletter. We gather statistics around email opening and clicks to help us monitor and improve our e-newsletter. For more information, please see MS Privacy & Cookies notice.

People who contact us via social media

If you send us a private or direct message via social media the message will also be accessible to the third-party agency we currently outsource our marketing and social media management to. Your message will also be stored by the social media platform in line with their privacy policy. Source Telecom and our marketing agency will not share your private or direct messages with any other organisation.
